Wholesale System
Party ledgers, rate slabs and bilty tracking in one place, so recovery is a report instead of a round of phone calls.
Wholesale is not retail at a larger size. The customer is a party with a ledger, a credit limit and a history. The rate depends on quantity and sometimes on who is asking. Goods leave on a bilty through a transporter and reach the buyer days later. Payment arrives as a post-dated cheque or in pieces, and recovery is a continuous job rather than an event.
What gets built is scoped to how your trade settles. A distributor with salesmen on fixed routes, a commission agent selling on behalf of others and a cash-and-carry wholesaler need different builds, and the rate and ledger structure is where that difference lands.
What it fixes
- Party balances known only once someone totals the register, by which point the position has moved
- Credit limits that exist as an understanding rather than a figure visible while the order is being taken
- Rate slabs by quantity, party category and scheme, applied from memory and inconsistently between staff
- Bilty and transport details living on the transporter's paper, so a short or disputed delivery has no record on your side
- Post-dated cheques in a drawer, with the only reminder of a due date being somebody remembering it
- Salesman orders brought back on paper in the evening and keyed in by one person late at night
What gets built
A starting point, not a fixed list. The build is scoped to your own process before anything is written.
Party ledgers and credit control
An account per party with running balance, ageing and a credit limit visible while the order is being entered rather than after dispatch.
Rate slabs and schemes
Quantity-based rates, party-category rates and scheme or free-goods offers defined once and applied consistently, instead of renegotiated at each bill.
Dispatch and bilty
Transporter, bilty number, freight and expected arrival recorded against the dispatch, so a late or short delivery can be traced from your own records.
Recovery and cheques
Outstanding by party and by age, part payments set against specific invoices, and post-dated cheques with their due dates in one list.
Returns and claims
Sales returns, damage and shortage recorded against the original invoice and the party, so a credit note exists in writing before the settlement conversation.
Salesman orders and routes
Orders captured by route and salesman with their own sales and collection figures, which is the basis for commission that is calculated rather than estimated.
Who this is for
Distributors, wholesalers and commission agents where credit, recovery and party ledgers are the heart of the business, typically with a godown and anywhere from a couple of staff to a sales team working routes. It suits an owner who can no longer carry the party positions in their head. It is not aimed at a retailer who occasionally sells in bulk, where the mart or trade-specific pages fit better, and it is not an accounting package: if you need audited financial statements, your accountant's software still has a role alongside this.
Questions
Does FBR POS or sales tax integration apply to us?
It depends on your registration and your tier, and the position for wholesale differs from retail. We do not assume it and we do not include it as a completed feature. Confirm your obligation with your tax adviser, and if integration is required we scope it as separate work with its own cost and timeline.
Can our salesmen take orders on a mobile in the market?
Yes, and for a route-based business that is often the part that pays for the project, because it removes an evening of retyping. It does depend on reasonable mobile data in your areas and on salesmen willing to use it. If either is doubtful, start with the ledger and dispatch side and add mobile ordering once the base is trusted.
We deal in our own stock and also hold goods on commission for others.
Say that at the start, because it changes the ledger model fundamentally. Commission goods are not your purchase and should never sit inside your stock valuation. It is workable, but designing it in later means rebuilding the foundation.
